| 2007 OJAI INDEPENDENCE DAY PARADE APPLICATION PACKET Sponsored by the Ojai Independence Day Committee, Inc. This packet includes the following forms and documents: Parade Rules and Regulations Official 2007 Independence Day Parade Application Form Supplemental Form Describing Entry Publicity Release for Announcers Form List of Judging Categories WHAT'S NEW THIS YEAR? 1. We will not have a meeting of parade entrants this year. Direct any questions or concerns regarding your entry to Lea Harvey @ 805-646-6645 (message phone); email to ojai4th@ojai.net; or FAX to 805/646-8779. 2. To be eligible, your entry application should be postmarked no later then June 8, 2007, or delivered to the Ojai Recreation Department before 4:00 p.m. on that date. On Saturday June 9, the Committee will line up the parade. Entries received after that date may be considered for inclusion in the parade. These late entries will be placed after the last entry in the order received (considering safety and appropriateness of placement). Unfortunately there won't be enough time to include them in the Ojai Valley News Parade supplement. 3. We will offer priority placement for the first FIFTEEN (15) applications we receive that are complete and accompanied by the appropriate entry fee. If you are one of the FIRST FIFTEEN, a committee member will contact your entry contact person (in order of the date your application was received) to select a mutually agreed priority placement for your entry. 4. Notification of your placement in the parade, and other information regarding line-up procedures, parking, judging time, etc., will be mailed by June 23, 2007 to the address of the "Official Organization Contact" listed on your application DUTIES & RESPONSIBILITIES OF YOUR OFFICIAL ORGANIZATION CONTACT I. General: Each parade entry will be asked to designate an Official Organization Contact who will have overall responsibility for the parade entry. This person does not necessarily have to be an officer of the organization, but they must have the authority to act for the organization and assume full responsibility for the parade entry. This person will be the Official Organization Contact between the Ojai Independence Day Committee (“Committee”) and your organization throughout the application process and the parade. If you are a single entrant only, you would be both the Official Organization Contact and the Entry Marshal. II. Contact Responsibilities: 1. Read and understand the Rules and Policy of the Committee and interpret them for your organization. 2. Attend the General Meeting of the Committee and report back to your organization. Attendance by you or another person from your organization at the June Meeting is mandatory. . 3. Submit complete, signed application forms and all supplemental information by the deadlines set by the Committee. 4. Follow and enforce all rules, policies and guidelines of the Committee as they apply to your entry. 5. Either appoint an Entry Marshal to accompany the entry during the parade or assume those duties yourself. ENTRY MARSHAL DUTIES Each entry needs to appoint an Entry Marshal. The Entry Marshal may be someone other than your Official Contact named in the Application. The Entry Marshal has the following duties and responsibilities: 1. Act as contact with parade officials in the line-up area and on the parade route on parade day. 2. Know parade rules for your entry and ensure compliance. 3. Be available to parade officials for relaying information to your entry in the line-up area and on the parade route. 4. Make sure that the entry number is properly placed on your entry. 5. Maintain control of your entry’s participants in the line-up area and on the parade route. 6. Accompany your entry during the parade. 7. Control entry speed on the parade route to maintain interval between your entry and units before and after. 8. Ensure the safety of your entry and entry participants. ITEMS FOR YOUR ATTENTION The following are areas of serious concern to the Committee: 1. No handouts of any kind are permitted during the parade. Throwing anything from your entry creates a serious safety hazard and will result in disqualification of your entry and possible removal from the parade. 2. Stopping to perform is a serious violation and could result in disqualification and/or removal from the parade. 3. Your entry will be inspected in the line-up area for compliance with Committee rules. Failure to comply with Committee rules and requirements could result in disqualification and/or removal from the parade. |
